Closings signed, witnessed and scanned back anywhere in Broward.
Commissioned Florida notaries who come to the borrower, the seller or your conference room, or meet them online through a state-registered RON platform. We carry a mobile printer and scanner, so late changes get printed and scanbacks go out before we leave. Order in two minutes, track every file in your portal.

Coverage map & travel zones
Type a property address, city or ZIP to place it on the map, see its travel zone and get driving directions.
Zones are measured as straight-line miles from our central Broward dispatch point (Plantation). Exact addresses are matched by ZIP code or city in this prototype; the live site will geocode the full street address.
How loan documents should reach your notary
Closing packages carry non-public personal information (NPI): Social Security numbers, account numbers, income and ID details. Title agents are expected to hold their vendors, including notaries, to the same protection standards they follow.
A third-party platform is needed, and in two places it is unavoidable.
Documents can be received and returned securely, but not through a plain website upload form or ordinary email. WordPress stores uploads as files on the web server, which isn’t built to hold NPI. For remote online notarization, Florida requires the session to run on a RON service provider registered with the Department of State, so a third party is mandatory there.
Three secure channels, in order of preference
The title company’s own platform
Most title and signing-order systems include a vendor portal. The documents never leave the client’s controlled environment, and access is logged.
- Examples: Snapdocs, Qualia, SoftPro, Closinglock
- Zero setup cost for us; we accept invites
- Scanbacks uploaded back to the same file
Encrypted email
Title agents widely use encrypted email for NPI. We receive and reply inside the same encrypted thread.
- Examples: Microsoft 365 Message Encryption, Virtru, Zix/Proofpoint, SafeSend
- Password-protected PDFs with the password sent separately are a fallback only
Upload to our secure vault
For attorneys and smaller title offices without a portal. The website’s upload button hands files to a business file-sharing service, not the web server.
- Options: Citrix ShareFile, Box Business, Tresorit, Microsoft 365 / OneDrive with sensitivity labels
- Expiring links, MFA, access logs, auto-delete after funding
Recommended stack for MobileClosingAgents.com
| Need | Recommendation | Why | Est. monthly |
|---|---|---|---|
| Secure document intake | ShareFile or Box Business file-request links embedded in the booking form | Encrypted at rest, MFA, audit trail, retention rules; keeps NPI off WordPress | $15–$40 |
| Encrypted email | Microsoft 365 Business Standard with Purview Message Encryption (or Google Workspace + Virtru) | Lets you reply to closers inside their encrypted threads | $12–$25/user |
| RON sessions | A Florida-registered RON service provider (e.g. Proof, NotaryCam, BlueNotary) | Required by Florida law; handles ID analysis, KBA and 10-year recording storage | Per session |
| Scheduling | Amelia or Bookly Pro (WordPress), or Acuity embedded | Service menu, time slots, intake fields, deposits, reminders | $7–$30 |
| Client login, orders, invoices | WP portal plugin (e.g. SuiteDash, WP Customer Area) linked to QuickBooks Online invoicing | Clients see order status and pay invoices; no NPI stored in the portal | $20–$50 |
| Address mapping | Google Maps Platform (Places autocomplete + Distance Matrix) | Autocompletes the signing address and calculates travel zone automatically | Free tier usually covers it |
Florida rules that shape the workflow
- Notarial fees capped at $10 per act in person (F.S. 117.05) and $25 per online act (F.S. 117.275). Travel and signing-agent fees are separate and should be disclosed up front.
- Online notaries must be in Florida during the session and use real-time two-way audio-video.
- Signers not personally known must pass ID credential analysis and knowledge-based authentication (5 questions, 80% correct, within 2 minutes).
- RON recordings and electronic journals retained for at least 10 years (F.S. 117.245).
- Florida deeds need two subscribing witnesses, and each witness’s post office address must appear on the deed.
Our NPI handling policy
- No loan documents by unencrypted email, text message or personal cloud drives.
- Scanbacks saved only to an encrypted drive, then deleted once the closer confirms receipt.
- Printed misprints and extra copies cross-cut shredded; no copies kept “for our records.”
- Packages stay in the notary’s possession or a locked case until handed to the courier.
- Any loss reported to the title agent immediately; borrower notice handled through the title agent.
